SAWYER COUNTY AGRICULTURAL FAIR ASSOCIATION FAIR CHIEF MEETING

WED., JUNE 8, 2011 6 P.M. SAWYER COUNTY FAIRGROUNDS

Board Present: Ron Kubarek, Ken Schmock, Chuck Aubart, Dave Acheson, Kelly Froemel, Dave Froemel, Steve Hudson, Patsy Aubart

Other’s Present: Amber Marlow, Bruce Gustafson, Jerry & Lynn Passow.

Ron brought the meeting to order at 6:12 PM. Pizza and soda were provided.

Chuck was approached by the Life Circle Mid-Wifery and Wellness Center for a booth space. Their booth includes baby changing stations. They need a 10x20 site with power. There will be no fee for them. The board gave the ok for them to come to the fair.

Admission Gates: The Music Boosters are doing the gates again this year.

Advertising: Sue Johnston will place some tri-fold fliers & handbook around towns. Is also donating some cost of the tri-folds and would also like to be a major sponsor.

Ambulance/Fire Dept.: Ron Kubarek – Will be contacting them soon.

Arena: Jerry Passow – No issues or concerns at this time.

Barn-Shavings: Lyle Larson (Not Present) Lyle is working on getting three loads this year.

Barn Superintendent: Ed Metcalf (Not present)

Barn-Beef: Jon LeBlanc & Ed Metcalf - Jon volunteered to work with Ed on this position.

Barn Dairy: Deb Henk (Not present)

Barn-Horse: Jon LeBlanc & Ed Metcalf – Jon volunteered to work with Ed on this position.

Barn-Llamas: Jerry & Lynn Passow – Liked the location and set-up for the Llamas. Requested the same for this year.

Barn-Poultry: Vacant

Barn-Rabbits: Ron will check to see if Kathy Lasiawecz is still doing rabbits

Barn-Swine & Sheep: Ed Metcalf (Not present)

Booth Vendors: Ron Kubarek & Kelly Froemel – Looks like we will have good response for commercial vendors for this years fair.

Clerks: Sue Swenson/Joey Johnson (Not present)

Cow Milking Contest: Ken Schmock (He has the cows for it lined up)

Daily Flyers: Kelly Froemel – Layout and schedule complete. Sue Johnston will be printing them this year. Should have them in hand the week of June 13th.

DQ Eating Contest: Steve Hudson – Dairy Queen has been contacted and has agreed to donate the Dilly bars again this year.

Educational Fair: Margaret Winter (Not Present) - Peoples Bank is donating $500 to be used for the Educational Fair.

Entertainment: Chuck Aubart – Entertainment is all lined up. No issues or concerns at this time.

Exhibit Hall: Sue Swenson (Not present)

Exhibitors Handbook: Lisa Schmock (Not present) Handbooks are being printed and should be available the week of June 13th.

Fair Food Booth- To be removed from list. Loins club is now renting the old Moose Lodge Booth at a flat rate. They are now responsible for this area.

Family Tent: Richard & Shirley Stream (Not present), but have volunteered for this position.

Food Vendors: Ron Kubarek – Food Vendors for 2011 fair has been filled. No longer taken applications.

Garbage: Bruce Gustafson-Nam. River Gobblers - Will be working closely with Amber Marlow and the recycling group.

Grounds: Set Up & Clean-Up: City of Hayward Fire Dept. (Kelly Froemel) – Kelly to help the Fire Department with the layout of the table chairs, etc.

Horse Show: Vacant

Judges-Hospitality (Fair & Ed Fair): Ron to contact Margret Winter (Peoples Bank) to see if they will handle this again. If not maybe Carol Alcoe would be interested.

Llama Show: Lydia Cook (Not present) Llama show to be moved to 11:00 AM

Lighting/Electrical: Ron Kubarek – Todd Sunderland is no longer available for electrical work. Need to find a new electrician to handle our needs on the Fair grounds. Ron to contact Kurt Barthel for recommendations.

Multi Sports Area: Dave Froemel & Joe Dennis (Joe not present) Nothing to report at this time.

Office Staff: Patsy Aubart – No Issues at this time.

PA/Sound System: Harold Stone (Not present) – Should be back from Alaska soon.

Parking Attendants: Ed Metcalf/Cheq. Lions Club-Gerry Brodsky (Not present)

Parking/Parking Lots: Ed Metcalf (Not present)

Pavilion: Steve Hudson - Not much at this time. Birds are still an issue; they seem to be getting by the mesh and are still building nests. Wire mesh needs to be nailed better in some areas.

Shuttle Service-Public Trans.: Ed Metcalf (not present)

Recycling: Amber Marlow – 4-H Cloverbuds will be helping with the recycling program. Amber will also be working closely with the Bruce Gustafson (Nam. River Gobblers)

Shuttle Service-Tractors: Ken Schmock – Northland Lawn and Sport will again be donating tractors again this year, but the one from the Snowmobile alliance may not be available because of insurance requirements. Ken to investigate what insurance requirements are needed for the Fair to use their tractor.

Signage: Dave Aubart (not present)

Sponsorship Campaign: Dave Acheson has volunteered to be Chief. Current list of potential sponsors that have not been contacted was supplied to Dave. Thanks Dave for taking this on again this year. Fair board members that indicated they would contact some of the potential sponsors will follow through with the ones they marked on the list.

Tribute to the Fair: Sue Johnston – (not present), but agreed to take this task on.

Veggie Races: Chuck Aubart – No issues or concerns

Volunteer Party (After Fair): Ken Schmock – Need to get the word out sooner on the volunteer party. Invitations to be sent to the volunteers when we send them their wristbands.

Water Truck: Dave Froemel – Dave’s water truck will be available to water arena and/or race track.

Web Site: Kelly Froemel – Web site looks good and is continually updated with current events s needed.

Topics for discussion: There was also discussion to possibly raffle off the fair car; the winner gets to race the car. Timber Ford will donate a second car for Powder Puff. First car was donated by Hayward Auto Salvage. Chuck to obtain a Raffle permit as required by law.

The fair is also looking for 250 hay bales to place around the race track for events.

The next Fair Chief Meeting will take place on Wed., July 13, 2011 at 6 PM at the Fairgrounds.

President Ron Kubarek welcomed everyone and thanked them for coming.

Admission Gate: Still looking for a group or two to take charge of the admission gates at the fair.

Advertising: Sue Johnston was not present but is taking care of the advertising.

Ambulance/Fire Dept.: Ron Kubarek will contact Bob Shamro for the Town of Hayward Fired Dept. and Brian Cody for the ambulance to be on standby for pit events.  Suggestion was made to possibly have an EMT on the fairgrounds during the day.

Arena:  Jerry Passow was present.  Ken Schmock is going to get a tractor or ATV for dragging the arena.

Barn Shavings:  Lyle Larson not present; needs two wagons of shavings this year.

Barn Supervisor:  Ed Metcalf was not present but is still chief for this position.

Barn/Beef & Dairy:  Tina Shamro will speak to Teri Loree about how much time she will be able to spend at the fair.

Barn/Horse:  Tina Shamro thinks there are enough horse stalls this year.

Barn/Llamas:  Jerry & Lynn Passow have panels if needed and so does Lydia Cook. Chuck Aubart will contact Katie Mazac to do the llama judging.

Poultry:  Dave Aubart advised he is pretty well set for the poultry barn.

Exhibit Handbook:  The books are done; to be distributed in the county now.

Fair Food Booth:  Ken Schmock advised the girls Hayward Basketball group will do the fair food booth. The Lions Club will take over the Moose Lodge food booth.

Family Tent:  Kelly Froemel has Shirley Stream in charge of the family tent.

Pie & Ice Cream Social:  We will need to get the pies for the Social on Saturday for the Sunday social. $1.00 will be charged per person for the pie & ice cream.

Shuttle Service/People Movers:  Ed Metcalf and Ken Schmock have arranged the people movers; they are pretty well set.

Tractor Pull:  Still need a bobcat or loader.  Jeremy Murdock will be bringing the front end loader.

Barn/Rabbits:  They will be in the poultry barn this year.

Barn/Swine & Sheep:  Ed Metcalf not here to report.

Educational Fair:  Elaine Hamblin is ready for the fair. The Leaders Association are starting to sew the skirting for displays tomorrow for the exhibit hall.

Office Staffing:  Patsy Aubart reports having most people for the staffing but still needs a few more.

Food Vendors:  Kelly Froemel reports she now has 11 food vendors.  No more are needed at this time.

Garbage:  Bruce Gustafson was present.  He has 15 workers lined up to work.  He would like a 22 cu. Ft. recycle dumpster. Also needs 6-8 more garbage cans.  Dave Aubart will take care of the garbage cans.

Grounds/Set Up & Clean Up:  Mark Kelsey’s group will take care of this.

Hospitality:  Carol Alcoe not present but is in charge of this area.

Llama Show:  Jerry & Lynn Passow and Lydia Cook are ready for the fair.

Lighting/Electrical:  Dave Acheson is in charge; some bulbs do need replacing.

Multi Sports/Mud Bog:  Ken Schmock stated Jeremy Murdock will work on mud bog this week.  The ramp will be built on the track.

PA/Sound System:  Ron Kubarek spoke with Harold Stone who stated he will be at the fair.

Parking Vehicles:  The Chequamegon Lions’ Club are doing the parking lot.

Parking Lots:  Ed Metcalf is working on this area.

Pavilion:  Steve Hudson will oversee this area.

DQ Eating Contest:  Steve Hudson has had contact with Mr. Carlson at Dairy Queen.  The arrangements are made for the contest.

Shuttle Bus Service:  Ed Metcalf is working on these arrangements.

Signage:  Dave Aubart will check the signs we have and see if any need replacing.

Tribute to the Fair:  Sue Johnston will be assisting with this project this year.

Water Truck:  Dave Froemel will have the water truck available.

Web Site:  Kelly Froemel continues with this project.

Volunteer Party After Fair:  Ken Schmock will help Kelly Froemel set this up.

Cow Milking Contest:  Ken Schmock is in charge of this event.

Horse Show:  Tina Shamro will speak to Deb Barthel Wed. to see if she is doing the horse show this year.

Present:  Ron Kubarek, Patsy Aubart, David Aubart, Steve Hudson, Sue Johnston, Chuck Aubart, Lydia Cook, Lynn Passow, Jerry Passow, Deb Barthel, Dave Acheson, Ken Schmock, Wenonah “Joey” Johnson, Sue Swenson, Kelly Froemel, Lisa Schmock, Ron Kinsley 

President Ron Kubarek thanked everyone for coming to the meeting.   Pizza and soda were served.

Admission Gate:  We are still looking for a group to take care of the gates.  The Fairboard pays $1200 to the group that takes on this project.

Advertising: Sue Johnston will be printing the fair exhibit book and will also help layout the Tribute to the Fair and the fair ad.

Ambulance/Fire Dept.:   Ron Kubarek will contact Brian Cody for the ambulance and Bob Shamro for the fire dept.

Arena: Jerry Passow volunteered to take care of the arena this year.

Barn shavings: Lyle Larson – not present

Barn Superintendent:  Ed Metcalf not present. He will also take care of the parking behind the barn.

Barn-Beef & Dairy: Terri Loree/Deb Henk – not present

Barn-Horse: Deb Barthel asked about blocking off the area again between the horse stalls and the poultry barn as they did last year.  The horse project group were given permission to block it off  again.  Deb also questioned who provides the Judges and Clerks for the horse events. She was advised that they were provided by the fair but the horse project group had to supply their own timers for their events.

Barn-llamas: Jerry & Lynn Passow-They expressed concern about possibly getting the llama’s inside the barn this year .  If the fair does not have enough panels, they can provide some along with Lydia Cook who stated she could bring some also if needed. They feel that there will be more llama’s in open class this year.  They could also like to buy their own ribbons this year for the llama judging. The Passow’s and Lydia Cook would also like to see the same judge this year as they had last year.  A reminder to have a PA system available for the Judging  and the llama exhibition. The exhibition will probably be on Sunday.

Poultry: Dave & Patsy Aubart-Dave wanted to make sure a PA system was available for the Judging. Dave also wants to assign the cages this year so all classes of birds can be judged in an orderly fashion. He also suggested a rain gutter on the front of the pavilion.

Exhibit’s Handbook: Lisa Schmock advised that the changes have been made to the handbook. The board and extension want to look the handbook over before it goes in for printing. 2000 will be printed this year by Sue Johnston.

Fair Food Booth:
The Lion’s Club will be in charge of the booth again this year but Chuck felt the board should regulate the prices of the food. Chuck advised that the Lions also wants to sell sweet corn separately from the food booth.

Family Tent: Kelly Froemel advised that Shirley Stream will take care of the family tent. Some of the jobs are to oversee the chair setup and to see to the needs of the entertainers.

Pie & Ice Cream Social: Ron Kubarek- It was discussed whether to charge for this at the fair this year. Joey suggested getting the pies a day early so they can set up firmer.

Shuttle Service/People Movers: Ken schmock stated the tractors will be provided by Lawn Sport & Tractor for the shuttle service.

Tractor Pull: Ken Schmock & Ron Kubarek-The tractor pull needs to be advertised early.
Ken felt that the fair should only have antique and farm stock tractors this year.

Barn-Rabbits:  Kathy Lasiewecz-not present-She had sent an e-mail earlier with concerns about the rabbits being moved in with the poultry. It was stated that other fairs combine poultry and rabbits with no problems in the same building.

Barn-Swine & Sheep:
  Ed Metcalf not present

Educational Fair:
Elaine Hamblin not present-Sue Swenson stated they needed more wall space; possibly have corkboard for the walls.

Exhibit Hall: Sue Swenson recommended to make more space in the hall; possibly cleaning out the corner by the utility room. This area could be used for photography.

Office Staffing: Patsy Aubart will schedule the office help this year.

Food Vendors: Ron Kubarek, Kelly Froemel

Garbage:
Bruce Gustafson/Namekagon River Gobblers: not present. It was suggested that more garbage cans are needed around the grounds

Grounds/Set Up & Clean Up: Team Panoply/Mark Kelsey; Boxing Club/Dave Mathis not present

Hospitality-Judges: Carol Alcoe not present

Judges & Clerks: Chuck Aubart and Wenonah “Joey” Johnson –Some Judges have already been contacted. Joey & Chuck will get together to see what Judges are still needed.

Llama Show:  Lydia Cook will put the show together this year with the help of Jerry & Lynn Passow.

Lighting/Electrical: Dave Acheson advised that he will begin to check the fairgrounds in May to make sure everything is working properly.

Multi-Sports area/Mud Bogs:  Dave Froemel & Joe Dennis not present.

Pa/sound System: Harold Stone not present

Parking Vehicles:  Jim Brodsky/Cheq. Lions Club not present.

Parking Lots:  Ed Metcalf not present.
